Board of Directors Nominations Open

We are now within 60 days away from our AGM, and so now is the time to call out for an expression of interest for nominations to be on the 2021 and 2022 Board of Directors for Quidditch Australia.

Board positions are held for 2 years, the portfolio of a particular member of the board is decided mutually among the board members at their first meeting. Board members may hold the same role for two years or change during their term, depending on the needs and structure of the organisation at the time. There are many possible portfolios or roles a board member may hold, and these along with general responsibilties of the board are outlined below.

This year, there are three positions available on the board for 2021 with the terms of Nicola Gertler, Ajantha Abey and Jamie Turbet coming to an end.

If you wish to nominate yourself please send a written nomination by the 23rd of October to the Secretary (secretary@quidditchaustralia.org). Your nomination should outline why you would like to be elected, any qualifications or experience you have which will aid your work on the board, any board positions you may be interested in and anything else you think will be of relevance. Please be aware you will also be required to speak to our members and answer questions at the 2020 AGM, which this year will be held virtually.

Below is a description of the general responsibilities of the Board of Directors as well as descriptions of possible board roles and what they entail. Please note the work of the board is not limited to these responsibilities, and it is possible that more duties may arise throughout a Director’s term.

General Responsibilities of the Board

• Assist with the Dropbears campaign (selecting staff, seeking sponsors, fundraising, jersey and merchandise selection etc.)
• Staff selection
• Complaint discussion
• Taking an active interest in the priorities of Quidditch Australia, including their departments, objectives set by the constitution and the strategic plan
• Being responsive to and communicative with the general membership of Quidditch Australia through emails, report writing, and other transparency and accountability measures
• Discussing and voting on other board matters such as policy drafts, organisational structure, event organisation, etc.

Chair

• Promote the aims and objectives of QA
• Preside over the board; and chair all board meetings
• Oversee and coordinate the activities and administration of QA
• Ensure elected committee members perform their duties
• Represent QA to members and external organisations

Vice Chair

• Assist the Chair in their duties (see above)
• Preside over the organisation and board meetings when the Chair is unavailable
• Ensure the correct applications of the constitution and policies of the association
• Handle all complaints submitted to the association, unless there is a conflict of interest
• Respond to all general enquiries
• Calling the meetings of the board and association and maintaining minutes for those meetings

Treasurer

• That all money due to the association is collected and received and that all payments authorised by the association are made
• The correct books and accounts are kept showing the financial affairs of the association, including full details of all receipts and expenditure connected with the activities of the association
• Ensure financial policies are upheld
• Advise the board on financial strategy and fundraising
• Develop budgets for the calendar year, financial year and any upcoming events or campaigns (QUAFL, State Shield, Dropbears)

Media, Communications & Sponsorship Director

• Management of QA social media
• Management of all media requests sent to QA
• Outreach to media sources regarding QA events, initiatives and general promotion
• Outreach regarding sponsorship of QA events, Dropbears, ect
• Management of QA website
• Staff management

Events Director

• Development of plans and timeline for 2021 and 2022 events
• Management of 2020 events
• Management of all event sanctioning requests
• Development of events policies, bidding processes, etc.
• Development of events execution outline
• Staff management

Gameplay Director

• Development of plans for 2021 and 2022 gameplay & refereeing
• Development of policies and resources for officiating
• Development of policies and resources for gameplay
• Gameplay and officiating management for all events
• Staff management

Membership Director

• Maintain the membership register on a regular basis
• Club, team and individual membership registration
• Process individual’s transfers

General Director

• Assists the board in achieving the goals of the association and strategic planning
• Assists in areas unable to be seen to under another boards portfolio, ie. coordinating the national team
